About the Position
The Town of Jefferson is seeking a highly motivated, community oriented professional to serve as Town Clerk, Tax Collector, and Deputy Treasurer. This is a key administrative position responsible for ensuring the efficient, friendly, and lawful operation of the Town Office. The ideal candidate will have excellent customer service skills, strong attention to detail, and the ability to work effectively with residents, town officials, and state agencies.
Key Responsibilities
Town Clerk
- Maintain and safeguard all official town records.
- Process vital records (birth, death, marriage).
- Issue licenses and permits, including marriage licenses, dog licenses, and IF&W registrations.
- Prepare Select Board agendas and minutes as needed.
- Administer elections in compliance with Maine law, including voter registration and ballot management.
Tax Collector
- Collect, receipt, and record property taxes, excise taxes, and other municipal fees.
- Maintain accurate records of tax payments and liens.
- Provide helpful, accurate information to taxpayers regarding assessments, due dates, and balances.
- Work closely with the Treasurer and Assessing Department to ensure tax compliance.
Deputy Treasurer
- Assist with accounts payable, accounts receivable, and reconciliation of municipal accounts.
- Support financial reporting, cash management, and annual audit preparation.
- Ensure accurate, timely processing of municipal financial transactions.
Qualifications
Required:
- High school diploma or equivalent.
- Strong customer service and communication skills.
- Competence with computers, Microsoft Office, and common office equipment.
- Ability to handle confidential information with discretion.
- Ability to be bonded.
Preferred:
- Prior experience in municipal government (Clerk, Tax Collector, Treasurer’s Office, etc.).
- Familiarity with Maine municipal laws and procedures.
- Experience with TRIO or similar municipal software.
- Notary Public (or ability to become one).
- Ability to obtain required state certifications (training provided).
